What I keep, who sees it, and how you take it back.

Last updated 27 October 2026. This is the English version and it is the one that counts. If anything here is unclear, write to me at scott@scottoldford.com.

The short version

  • You give me an email and a first name. Everything else you choose to tell me.
  • What you write in the room goes to an AI model that answers in my voice. I am not reading live.
  • I may read some sittings afterwards to make the mentor better. You can switch that off in Settings and I will not see yours.
  • You can read, download, change or erase everything, yourself, any time.
  • I do not sell your data. I do not run ads on it.

What I collect

To let you in. Your email address, so I can send you a sign-in link. No password.

To work with you. Your first name, your country (for the right crisis lines), and whatever you type or say in the room. If you fill in “About you”, those answers too. If you use voice, the audio is sent to a speech-to-text service only to make the text; I do not keep the audio.

To remember. The notes the mentor keeps for you: lines you asked to keep, what we are working on, the lenses we have named, the experiment on the table, and a short log of each sitting. You can see all of it on your Notes page.

To run the room. A session cookie that keeps you signed in, the time of your messages, how many turns you have used, which starter you tapped, and whether a sign-in link was opened. Error logs if something breaks. No advertising trackers, no analytics scripts from other companies.

If you are in danger. If what you write suggests you may be at risk, the mentor shows you crisis lines for your country and a flag is set so the room stays careful with you. The flag holds a date, not your words.

Who sees it

The AI model. Your messages, your notes and your “About you” answers are sent to Anthropic’s Claude model to produce each reply. Anthropic processes that data to generate the reply and, under their commercial terms, does not use it to train their models.

Me. I may read sittings to understand where the mentor helps and where it misses, and to improve how it works. This is the honest price of a room that gets better. If you would rather I did not, switch off “Keep my sittings out of Scott’s review” in Settings; from then on your sittings are visible only to you and the mentor. Only an administrator of the room can open them, and today the administrator list is me, alone.

Email. Your email and first name go to ActiveCampaign, the service I use to send email. You get a short welcome sequence about the room, and, unless you unsubscribe, my regular letters. Every email has an unsubscribe link, and unsubscribing never affects your access to the room.

Service providers. The room runs on Vercel, the database is Supabase (United States, East), sign-in links go through Postmark. They host and transmit data on my behalf and do not use it for their own purposes.

The law. I will hand over data if a court or lawful authority requires it, and I will tell you if I am allowed to.

What I do not do

  • Sell, rent or trade your information.
  • Show you ads or let anyone else target you from this data.
  • Use your words as marketing material. If I ever want to quote something you said, I will ask you first, in writing, and you can say no.
  • Diagnose you. The mentor is not therapy, medical, legal or financial advice, and the lenses it names are ways of looking, never labels you are.

How long I keep it

As long as you keep using the room, plus a quiet period in case you come back. If you have not signed in for 18 months I delete the account and everything in it. Erase it yourself sooner from Settings and it is gone within minutes, including from the email list. Backups roll off within 30 days.

Your controls

  • Read everything on your Notes page.
  • Forget any kept line, remove any card, take any sitting off the record.
  • Download your notes as plain text, short or full.
  • Switch off the weekly email, the shelf, and my review of your sittings, each separately.
  • Erase everything from Settings. One step, no email to me, no waiting.

If you are in Canada, the EU, the UK or anywhere with a privacy law that gives you rights to access, correct, port or delete your data, those rights are met by the controls above. If something is missing, email me and I will do it by hand within 30 days.

Age

The room is for adults running a business. If you are under 18, please do not use it, and if I learn an account belongs to a minor I will delete it.

Changes

If I change what I collect or who sees it, I will change this page and move the date at the top. I will not quietly widen anything.

Who I am

Scott Oldford. The room is run by The Modern Business Academy, LLC. Write to scott@scottoldford.com for anything about your data.
